Visa Notes & Fees:
Passport: Original Passport with validity of a minimum of three months (from the date of return) and a minimum of two blank pages for visa stamp.
a) Colored copies of all the pages of the existing passport and bio pages of the old passports.
b) Colored copies of valid visas in old passports are also required.
Please note:
a) Passports issued beyond 10 years will not be accepted by the Embassy
b) Handwritten passports will not be accepted.
c) Indian Passports can only be accepted if their biodata (name, date of birth, place of birth & sex) have not been modified by an "observation". However, observation regarding the validity of the passport or any observation on the last page is acceptable.
d) Attach all your old passports (if any)
Danish Visa Application Form: It is mandatory to fill Visa application form and pay the fee online using: https://applyvisa.um.dk
After completing the visa form, Visa Fee payment receipt is printed from https://applyvisa.um.dk/
The cover letter must be printed online and should be attached to supporting documents at the time of submission at the Visa Application Centre.
Photo Specification: Two recent passport size photographs with matt or semi-matt finish, 60%-80% face coverage, white background, and without border (Size: 35mm x 45mm)
For Chennai: Two recent passport size photographs with glossy finish, 60%-80% face coverage, white background, and without border (Size: 35mm x 45mm)
Please note: Photographs should not be more than 3 months old, scanned/stapled, and should not be used in any of the previous visas.
Covering Letter: Covering Letter from the applicant on company’s letterhead stating his name, designation, passport number, purpose, duration of the visit, name, and address of the company he/she intends to visit duly signed by authorized signatory with company stamp and addressed to– The Visa Officer, Royal Danish Embassy, New Delhi.
Invitation Letter: Invitation Letter from Denmark host / inviting Company on its letterhead stating the name of the applicant, the purpose of travel, dates, duration of stay, nature of costs being covered (boarding & lodging). It should be duly signed with the signatory’s name and designation.
In case of the visit being sponsored by the company, a sponsorship letter with full details and bank statement for the last six months of the company is required
In case the visit is sponsored by a guarantor/reference in Denmark a sponsorship letter (not older than six months) is issued by the reference in Denmark. The letter should contain the applicant's name, address, relationship with guarantor/reference (proof to be attached), duration of stay, and nature of costs being sponsored.
Airline Reservation: Ticket Itinerary
Proof of Accommodation: Hotel confirmation / Guarantee of the host company
Medical: Original Travel Medical Insurance for the stay duration amounting to 30,000 Euros. Insurance to be done by the Authorized Insurance Companies.
Financials:
a) Personal ITR for last 3 years
b) Original Bank Statement for last six months with Bank Seal and Sign. Note: Bank statement Should be on A4 Size Paper.
c) Three months salary slip
d) Company Bank Statement for last three months.
e) Credit Card copy/Foreign Exchange endorsement/Traveler’s Cheque
For First Time Traveler (Following documents apart from the above-mentioned documents need to be submitted along with the application)
a) In addition to Business Correspondence with the concerned Danish company, a copy of the relevant and Highest Educational Certificate is also required. (This requirement is also applicable for travelers who have not visited any Schengen countries in the last five years)
Proof of occupation:
a) Company Registration Certificate / Certificate of Incorporation
b) Brief Company Profile
c) Articles of Memorandum (In case the applicant is MD/Director)
d) Proof of Proprietorship / Partnership (In case the applicant is Proprietor / Partner in a firm)
e) Import / Export License (if applicable)
Authorization Letter: Applicant has to submit an Authorization Letter authorizing Nitin/Vinod from Udaan India Private Limited to submit and collect documents.
Please Note: Authority-Letter should be original. Scan copy of the Authority letter will not be accepted.
Please Note: Additional Document Sheet to be filled by the applicant, in case Embassy ask for any additional documents.
New Procedure for Schengen Visa Applications: With immediate effect, Indian citizens traveling to Schengen countries for the short-term (max 90 days in 180 days) will have to visit the VFS visa application center personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within the next 5 years, the biometric data will be copied from the previous visa application included in the VIS.
